This Privacy Policy explains how FlowSense Solutions (“FlowSense,” “we,” “us”) collects, uses, stores, shares, and deletes information in connection with the FlowSense CFO Dashboard (the “App”), including information we access from Intuit QuickBooks Online (“QuickBooks”) when you connect your QuickBooks company to the App.
The App is provided to FlowSense clients and prospective clients as a financial reporting dashboard. It is not a consumer product and is not directed to children.
1. Information we collect
QuickBooks data
When you authorize the connection, Intuit issues us an access token scoped to com.intuit.quickbooks.accounting with read-only access. Using that token, we read accounting data from your QuickBooks company, which may include:
- Chart of accounts, journal entries, and trial balance data
- Profit & loss, balance sheet, cash flow, and other standard QuickBooks reports
- Invoices, bills, payments, credit memos, and related transactions
- Customer and vendor records, including business contact details stored in QuickBooks
- Company profile information, such as legal name and fiscal year
We request read-only access. The App does not create, modify, or delete records in your QuickBooks company. We do not request or access QuickBooks Payroll or QuickBooks Payments data.
Authentication and account data
We store the OAuth 2.0 access token, refresh token, and QuickBooks company ID (realm ID) issued by Intuit, along with the name and email address of the person who authorized the connection. We never receive or store your Intuit username or password.
Technical and usage data
We collect standard server and application logs, including IP address, browser type, timestamps, pages viewed, and errors encountered. These logs are used for security monitoring and troubleshooting.
2. How we use information
We use the information described above only to:
- Authenticate your connection to QuickBooks and keep it active through token refresh
- Retrieve, calculate, and display financial metrics, charts, and reports in the dashboard
- Cache retrieved data so the dashboard loads quickly and can show period-over-period comparisons
- Diagnose errors, monitor security, and support you when you ask for help
- Comply with legal obligations
We do not sell your data, rent it, or share it with advertisers. We do not use your QuickBooks data to train machine learning or AI models, and we do not use it for any purpose unrelated to providing the dashboard to you.
3. Storage and retention
The App stores OAuth tokens and a cached copy of the QuickBooks data needed to render your dashboard. Data is held in our cloud-hosted application database in the United States.
- Cached QuickBooks data is refreshed on an ongoing basis and retained for as long as your connection remains active.
- OAuth tokens are retained until you disconnect the App or the tokens expire or are revoked by Intuit.
- Application logs are retained for up to 90 days.
When you disconnect the App, we revoke the refresh token with Intuit and delete your cached QuickBooks data and stored tokens within 30 days, except where we are required to retain records to comply with law.
4. Security
We protect your information using measures appropriate to its sensitivity, including:
- TLS encryption for all data in transit
- Encryption at rest for stored tokens and cached financial data
- OAuth tokens held in encrypted secret storage, never exposed to the browser or committed to source control
- Access limited to FlowSense personnel who need it to operate or support the App
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your data, we will notify you without undue delay.
5. Sharing and disclosure
We share information only in these circumstances:
- Service providers. Cloud hosting, database, and email delivery vendors that process data on our behalf under contractual confidentiality and security obligations.
- Intuit. API requests necessary to retrieve your data and manage the connection.
- Legal requirements. Where required by law, subpoena, or to protect our rights, safety, or property.
- Business transfer. In connection with a merger, acquisition, or sale of assets, subject to this Policy.
We do not disclose your QuickBooks data to any other third party.
6. Your choices and rights
You can revoke the App’s access at any time from within QuickBooks Online under Settings → Apps → Connected apps, or by emailing us. Revoking access immediately stops further data retrieval.
You may also request access to, correction of, or deletion of the data we hold about you by emailing info@flowsensesolutions.com. We will respond within 30 days. Depending on where you live, you may have additional rights under laws such as the CCPA or GDPR; we honor those rights where they apply.
7. Changes to this Policy
We may update this Policy from time to time. We will revise the effective date above and, for material changes, notify connected users by email.
